Privacy Policy and Terms of Service

Reclaim Your Recovery is a group program only available for individuals currently living in Ontario, New Brunswick or Nova Scotia (Canada), and must be 18 years or older.
Courtenay Vickers RD (CVRD) respects all client’s privacy and is committed to protecting their personal information. This Privacy Policy explains how CVRD collects, uses, and discloses personal information when clients access services at CVRD. By using CVRD’s services, the client consents to the collection, use, and disclosure of their personal information in accordance with this policy.
CVRD will keep everything shared by the client in utmost confidence according to the Personal Health Information Protection Act, 2004 (“PHIPA”). There are certain circumstances that require CVRD by law to disclose confidential information. These are:
• When there is a clear and imminent risk of serious harm to someone (the client or other)
• When a provider at CVRD suspects that a child (<16 years old) is at risk of abuse or neglect
• When a client tells CVRD that they have been sexually abused by a regulated health professional
• When a court of law subpoenas the record
• When the College of Dietitians of Ontario inspects records as a part of their regulatory activities in the public interest
Privacy of Personal Information – Use, Disclosure, and Retention of Information:
Courtenay Vickers RD keeps records of all sessions and communications. These records will contain personal health information (including the client’s name, date of birth, health history, phone number, address, email, etc.), and summaries of what is discussed during sessions.
• This information is maintained and stored in a secure online charting system called Jane.
• CVRD is required to keep client’s records for at least 10 years beyond the last contact with the client
• Sessions are conducted virtually using Zoom for healthcare in Canada. This is a highly secure platform specifically designed for health care professionals to use with their clients.
• Communication is also offered by email and a digital community platform. CVRD recognizes that there can be privacy risks related to the use of these technologies. CVRD does their best to be careful with regard to client’s privacy when using these forms of communication, however, CVRD is not able to guarantee privacy of any information shared via email.
• Clients have the right to review the information in their file at any time. If a client disagrees with the information, either a correction will be made, or the disagreement will be noted.
• There may be times where a provider at CVRD may feel it’s necessary to discuss or share a client’s personal health information with another health professional within their circle of care, such as a physician or therapist. Should this occur, all encounters will be kept confidential and documented accordingly.
Reclaim Your Recovery is an online group program and it is expected that all personal information shared within the group is kept confidential by all participants.
Courtenay Vickers RD reserves the right to modify this Privacy Policy at any time. Any changes will be effective immediately upon posting the revised policy on our website.

Terms of Service
Appointment Scheduling: All sessions are scheduled ahead of time for group programs at Courtenay Vickers RD (CVRD). Note: all appointment times in Jane are listed in EST.
Client Responsibility: Clients are responsible for their own health and well-being, and are responsible for communicating their health history, as appropriate, as well as changes in their health. Courtenay Vickers RD provides low-intensity community virtual nutrition services and is not a replacement for a hospital-based program, psychotherapy, or medical monitoring.
Length of Program: Reclaim Your Recovery is a 4-month program that includes 14 x 60-minute Zoom sessions in a small group setting, with the lead facilitator being Courtenay Vickers RD.
Technology Required
In order to work with CVRD virtually (online), clients will require the following: a stable phone connection OR; a computer, laptop, tablet or smartphone with WiFi capability, a strong WiFi connection, a microphone, and a functioning webcam or built-in camera (if using video). It is the client’s responsibility to ensure a private, quiet environment free of distractions for all virtual sessions. Reclaim Your Recovery specifically will utilize Zoom as the main platform for live sessions.
Communication Between Sessions
Clients are welcome to ask brief questions between sessions over email or via our private digital community platform. CVRD will try their best to reply to all clients as quickly as possible (within 48 business hours). However, if a client message warrants a longer response or more exploration, CVRD will acknowledge it and let the client know it can be discussed it in more detail at the next schedulled session. Please note that the use of social media and/or Google to communicate with CVRD is discouraged and is not PHIPA-compliant.

Absence of the Dietitian: Clients have the right to expect that their scheduled sessions will be respected and protected from unnecessary interruptions. CVRD will inform all scheduled clients in advance of any absences including vacations, and will provide clients with names of other clinicians they may access during my time of absence, if necessary. There may be an occasional unforeseen event of illness or other emergencies where I may not be able to make our scheduled session together. Should this occur, efforts will be made to contact clients and if possible, reschedule the session.
Fee Structure, Payments and Refunds
Reclaim Your Recovery is an online group program at Courtenay Vickers RD that runs over 4 months, which includes 14 x 60-minute Zoom calls, bite-sized education videos, curated resources, worksheets and journal prompts to integrate your learnings between live calls, and digital private community group.
The full program fee is $1500 CAD and can be paid upfront or in 4 monthly installments of $375 (unless advertised otherwise). CVRD is unable to provide refunds for any group services.
